Radiation Health Bureau Administrative Assistant

The Bureau of Radiological Health is seeking an administrative assistant to support activities across all bureau programs. This position will work closely with bureau program staff and the Bureau Chief. The position’s primary duties include coordinating non-technical program and bureau activities and supporting Bureau Chief initiatives. Daily activities will include:

1. Managing projects.
2. Coordinating and scheduling meetings.
3. Tracking and monitoring contracts and budgets.
4. Communicating with partners on behalf of and as assigned by the bureau chief.

This individual must effectively engage appropriate individuals within the bureau programs, division, department, and outside partners to complete projects and enable initiatives. This position will serve as a critical coordination point across all bureau programs and will assist with messaging and communication regarding issues, inquiries, or responses that are shared across multiple programs.

This position will be responsible for organizing, managing, promoting and preparing documents for meetings and conferences and preparing travel documents for staff and the bureau chief related to the radiological health programs. This individual may be assigned to attend and represent the radiological health bureau and programs at non-technical meetings, as requested. This role will include monitoring for and sharing department/division-wide communications and initiatives to ensure staff awareness and coordinated program engagement.

An additional role for this position will be tracking annual contracts for services necessary to carry out the radiological health program activities. This role involves coordination with program staff and the bureau chief to articulate services to be accomplished through contracts, routing the contracts to all necessary individuals to review for accuracy, and assisting bureau staff with contractual reports, performance measures, progress reports, and expense reports.
